Terms of use

These terms are the contract between you and Why Not Limited for SnappyClaims. If you do not agree, do not use the service.

“You” means the individual who creates an account, and — if you buy seats or run a business desk — the organisation you represent. If you invite someone, you confirm you can bind that organisation.

2. The service

SnappyClaims lets you photograph receipts, log HMRC mileage (including a live GPS trip), keep a ledger, fill an employer form, and email a pack to an accounts address you choose.

The website and the iOS app are the same product. Sign-up and seat payment happen on the website. The app is for signing in and capture.

We may change features. We will not use a change to take away a paid month you already bought without a refund or a credit of equal value, unless the law requires us to stop offering that feature.

3. Accounts

You must be 18 or over. You must give a true name and an email you control. You are responsible for the devices signed in as you. Tell us if you think the account is compromised.

Create an account on the website. Sign in on the phone after that. Do not share a login.

4. Personal ledger and business desk

A personal ledger is free, for one person. It shows house ads on the desk and a short house ad while a receipt is read. You cannot invite others.

A business desk is paid per seat. The owner counts as one seat. You choose the number at checkout. Invites and join codes stop when members plus pending invites reach that number. Paid business desks do not show house ads.

The current published seat price is £8.99 per seat per month, or the amount Stripe shows at checkout if we have changed it. VAT is added if it applies.

5. Fees, renewal, and cancellation

Seat fees are billed in advance through Stripe, monthly, until you cancel or reduce seats in the billing portal. Reducing seats cannot go below the number of people already on the desk.

Cancel at any time. Cancellation stops the next renewal. We do not refund the current month unless the law says we must, or we agree in writing.

If you bought seats as a consumer (not for a trade), the Consumer Contracts Regulations 2013 give you 14 days to cancel a distance contract. If you asked us to start the subscription during that period, you pay for the days used. Write to privacy@claimsnappy.app to use that right.

Failed payment can close paid features until Stripe succeeds. We may convert a desk back to personal rules (ads, no further invites) if seats lapse.

6. Your content

You keep the receipts, trips, forms, and packs you add. You grant us a licence to host, display, transmit, and process them only to run the service — including sending a photo to OpenAI to read a till, and emailing a pack to the address you choose.

You confirm you are allowed to store and send what you upload. Do not add someone else’s private documents, special-category data you should not share, or material that is illegal to possess.

A pack you send leaves our control once the recipient’s mail server accepts it. We cannot unsay that email.

On a business desk you appoint Why Not Limited as processor of the organisation’s expense records. We keep those files for six years from the record date unless you set a different period in Settings. Deleting a member’s account removes their login; it does not wipe the organisation’s archive before that date.

7. Acceptable use

Do not:

  • break the law, or file a claim you know is false;
  • probe, scrape, or overload the service except as allowed by a written security test we agreed;
  • open payment or create an account for someone else without authority;
  • resell the service or use it to build a competing capture tool from our output;
  • upload malware, or content that is hateful or pornographic.

We may suspend or delete an account that breaks this section.

8. Accuracy, HMRC, and no advice

You are responsible for the accuracy of every receipt, mile, rate, and pack you submit to an employer, accountant, or HMRC.

Receipt reading, form mapping, and HMRC mileage rates are helpers. They are not tax advice, legal advice, or a guarantee that a claim will be accepted. Check the figures before you file.

9. Privacy

Our privacy notice is part of this contract. It names who is controller (you, on a business desk; Why Not Limited, on a personal ledger), the processors (Clerk, Stripe, OpenAI, Railway, Resend, Google Maps, and the other map services), and how to export or delete your data.

10. The iOS app

The app needs the camera and photo library for a still receipt photo, and Always location for a live trip. We do not use the microphone. Without Always, live tracking stays off.

You can stop a trip in the app. Apple’s rules on account deletion are met by Settings → Delete account.

11. Availability

We aim to keep the service up. We do not promise uninterrupted access. Hosting, Clerk, Stripe, OpenAI, or a map service can fail. Take a photo of a till you cannot afford to lose.

12. Liability

Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or any liability the law says we cannot limit.

If you use the service as a consumer, your statutory rights under the Consumer Rights Act 2015 stay intact. Digital content must be as described, fit for purpose, and of satisfactory quality.

If you use the service in the course of a business, then — subject to the first paragraph of this section — we are not liable for lost profit, lost data (beyond a reasonable effort to restore from our backups), or indirect loss, and our total liability in any twelve months is limited to the seat fees you paid us in those twelve months (or £50 if you paid nothing).

The service is otherwise provided as-is.

13. Ending the contract

You may stop at any time: cancel seats in Stripe, then delete the account. We may end the contract if you breach these terms and do not fix a remediable breach within 14 days of notice, or immediately for a serious breach (fraud, illegal content, unpaid seats after reminder).

Sections that naturally survive (fees owed, liability, law) stay in force.

14. Changes to these terms

We may update these terms. The new version applies from the date on this page. If a change is material and you have a paid seat, we will keep the old terms in force until the end of the current billing month unless you agree sooner, or the change is required by law.

15. Law and disputes

These terms are governed by the law of Northern Ireland. Disputes go to the courts of Northern Ireland, except that a consumer may also bring a claim in the UK court of their home nation.

Try privacy@claimsnappy.app first. If we cannot settle, you may use the courts. This does not block a complaint to the ICO about privacy.
